Terms and conditions

1. Introduction

These Terms and Conditions apply to all clients of Chris Neilson of Active Independence by Solo Gym, a certified Occupational Therapist and Personal Trainer offering 1-1 and group training sessions. By booking sessions, you agree to the terms outlined below.

 

2. Sessions & Packages

  • Sessions are booked and paid for on a 6-session block-booking basis.

  • Initial block bookings are paid for at the time of booking.

  • Booking further sessions will be paid for no later than the day before the last session of the previous block.

  • Single sessions are payable in advance at the time of booking

  • Priority will be given to block bookings.

  • Group sessions are scheduled at fixed times. Missed group sessions are non-refundable and cannot be rescheduled individually.

 

3. Cancellations & Rescheduling

  • Clients must give at least 24 hours' notice to cancel or reschedule a one-to-one session. Sessions cancelled with less than 24 hours’ notice will be charged in full.

  • Any rescheduled sessions must be used within 7 days of the reschedule being declared.

  • Group session bookings are non-refundable and cannot be rescheduled unless the trainer cancels.

  • If the trainer needs to cancel or reschedule, as much notice as possible will be given, and any session missed will be rescheduled at a mutually convenient time.

 

4. Late Arrivals & Missed Sessions

  • If you're late for a session, the session will still end at the scheduled time.

  • If more than 15 minutes late without contact, the session will be treated as a no-show and charged in full.

  • The trainer will wait up to 15 minutes after the scheduled start time.

 

5. Payment Terms

  • Payment is required in advance via bank transfer or cash.

  • For ongoing training arrangements, invoices must be paid within 7 days of receipt.

  • Late payments may result in sessions being suspended until payment is received. Repeated late payments may result in additional charges or termination of the agreement.

6. Health & Safety

  • 1-1 clients must complete a health and lifestyle questionnaire before the training programme begins.

  • It is your responsibility to inform the trainer of any changes to your health, medications, or injuries.

  • If the trainer feels your health or safety is at risk, they reserve the right to pause training and refer you to a medical professional.

7. Results & Commitment

  • Consistency and effort are key to seeing results. The trainer will provide guidance and support, but outcomes are influenced by your commitment outside of sessions.

  • Results are not guaranteed but regular reviews will track progress and adjust training plans as needed.

 

8. Refunds

  • No refunds will be given for used sessions.

  • Refunds for unused sessions will only be considered in cases of serious illness or injury.

  • If the trainer cancels a package or terminates training, any unused sessions will be refunded.

 

9. Liability

  • The trainer is fully insured and qualified. However, by participating in sessions, you acknowledge that all exercise carries some risk.

  • The trainer is not liable for injuries sustained outside of structured training sessions.

 

10. Contact & Communication

The trainer can be contacted via email/messenger/mobile telephone during working hours – Monday to Friday 8am-8pm. Please allow at least 24 hours for non-urgent replies. In case of emergencies, seek medical attention directly.

 

11. Agreement

By booking and attending sessions, you agree to these terms. These may be updated occasionally, with reasonable notice given.

 

12. Miscellaneous

Permission will be sought before sharing any client progress on social media.
